LOCATION: Rathmines (Hybrid) remote and Rathmines office (Monday and
Thursday office days)
REPORT TO: Children and Young People Programme Manager
The Irish Heart Foundation is a community of people who fight to

THE ROLE
The Children and Young People team develops and runs national health
promotion programmes for schools. We codesign programmes and resources
to meet the needs of children in Ireland, protecting their future
health and empowering them with life skills. Through our programmes we
train teachers to deliver best practice programmes in the areas of
physical activity, wellbeing, PE and CPR. We are transitioning to a
new Learning Management System (LMS) to support and enhance delivery
of our programmes.
The successful candidate will have the opportunity to work across all
of the team’s programmes, providing support in learning experiences
and programme administration.
The role will require a process-driven mindset seeking opportunities
for growth and improvement in areas of administration and
technological advancements provided by the LMS.
KEY RESPONSIBILITIES
Work closely with Programme Coordinators to deliver all areas of
programme delivery:
COMMUNICATIONS
* Be the first point of contact for all school queries, providing
information on programmes and escalate as required. Liaise with
schools to signpost them to the most appropriate resources.
* Support regular mailing journeys and subsequent reporting.
* Update the website with current information as directed.
* Provide administrative support in promotion of programmes and
events.
TRAINING
* Work with programme coordinators and external stakeholders to plan
training schedules for each academic term.
* Plan and organise the team logistics for training events and
programmes ensuring all Irish Heart Foundation school events and
training run smoothly.
* Support the delivery of online training as per tutor requirements,
set up courses, polls, surveys, attendance and booking management.
LEARNING MANAGEMENT SYSTEM (LMS)
* Support course administration, including running reports, surveys
and evaluation.
* Support all users in the use of the LMS system including
onboarding.
CONTACT AND DATA MANAGEMENT
* Organisising data processes and actioning the training and user
data as appropriate
* Ensure consent is up to date on all records and follow retention
policies for data management.
* Provide administrative support to programme coordinators in
engaging with teachers and schools and tracking engagement.
* Manage photo consents process for the team.
PROGRAMME SUPPORT
* Support the delivery of resources across programmes.
* Support the delivery of awards for CPR 4 Schools programme by
monitoring applications, recording on the CRM, communication and
logistics for delivery of awards.
GENERAL ADMINISTRATION
* Taking minutes at team meetings and external stakeholder meetings
as required.
* Processing orders for the team as required. • Provide
operational and administrative support to the Children and Young
People team as required in general operations, programme requirements
and reports.
* Reception cover, ad hoc on a rota basis with other Administration
employees
SKILLS AND EXPERIENCE REQUIRED
* Demonstrable administration experience minimum 2 years.
* An understanding of the Irish school system would be an advantage.
* Strong written and verbal communication skills with an ability to
deal with a number of stakeholders. • Proven computer skills,
outlook, MS Office suite, mailchimp, survey monkey (or similar). Note
experience with a CRM and/or LMS will be a distinct advantage.
* Strong skills in CANVA design or similar and PowerPoint essential.
* A self-motivated person with strong administration and time
management skills with an ability to prioritise workload, plan and
work to multiple deadlines in a fast-paced environment.
* Ability to represent the Irish Heart Foundation in a professional
manner at all times.
* Fluent English
